For structured data collection within Onboarding and Projects

The forms and surveys enables teams to create and manage structured data collection within Projetly. It can be used to gather customer feedback, capture onboarding information, or standardize internal data collection during project execution.

This section includes three components.

  • Surveys

  • Survey Templates

  • Form Templates

Each component serves a different purpose but works together to help teams collect and manage information efficiently.

Surveys

Surveys are used to collect feedback, opinions, or satisfaction ratings from customers or stakeholders. They help teams evaluate experiences, measure outcomes, and identify areas for improvement after key project stages. The survey list page has the below details:

  • Survey Name

  • Status

  • Created At

  • End Date

  • Field Count

  • Tags

  • Responses

Add Survey Details

Click on 'Add New' and select surveys.

Survey Name

Add a name for the survey

For example, Customer Onboarding Feedback Survey or Implementation Completion Survey.

Select Template

Select a template from the dropdown menu, to suit your requirement.

Projetly offers 20+ default survey templates. Additionally, users can create custom templates using the Survey Templates module.

Survey Description

Enter a brief description explaining the purpose of the survey.

For example, this survey collects feedback after the onboarding process to help improve service quality.

Tags

Select or add tags to categorize the survey.

Tags help organize surveys and make them easier to filter or search. For example, Onboarding, Feedback, and implementation.

Survey Availability Period

Select the availability period for the survey.

Choose Never End by Default to keep the survey open indefinitely, or select Ends on to define a specific closing date.

Click on "Create and Build' to move to the Survey Build Form. This builder automatically loads a default set of questions as per the template selected in the previous step. The users can add, edit, and organize questions that will be presented to respondents.

Each question appears as a block in the builder and includes action controls that allow users to modify the survey structure. Use the action icons to edit the field type, copy or delete the questions.

Once all the details are added, click on ' Preview', or 'Save' to directly save the template. The form can also be saved as a template for future uses.

Use a Survey

A survey must be published before it can be used within projects or onboarding plans.

From the survey list, users can use the available action icons to preview, edit, publish, or share a survey. These actions allow users to review the survey structure, update questions or settings, and prepare the survey for distribution.

Users can then click Send Now to immediately send the survey to respondents, or schedule it to be sent at a later time based on the requirements.

The Responses field on the survey line displays the total number of responses received for a specific survey. Users can access the responses to review submitted feedback, share them with relevant stakeholders, or download them for further analysis as required.

Survey Templates

Survey Templates allow teams to create reusable survey structures that can be used when creating new surveys. Templates help standardize the types of questions used across projects and ensure consistent data collection.

Click on 'Add New' and select 'Survey Template'.

For example, this survey collects feedback after the onboarding process to help improve service quality.

Tags

Select or add tags to categorize the survey/survey template.

Tags help organize surveys and make them easier to filter or search.

Survey Availability Period

Select the availability period for the survey.

Choose 'Never End by Default' to keep the survey open indefinitely, or select Ends on to define a specific closing date.

Click Create & Build to open the Survey Form Builder. The survey template can be fully customized in the builder by adding, editing, or removing questions.

Before entering the builder, select how the survey should be displayed to respondents. This determines how users or customers will access and view the survey.

In-App

Small Widget, Floating Widget, Pop-up, Full-Screen Pop-up

The survey is displayed within the application interface. These formats appear as widgets or pop-ups that prompt users to respond while they are using the product.

Individual Link

Full-screen, Simple, Centered, Right-aligned, Left-aligned

The survey is accessed through a unique shareable link. Respondents open the survey on a separate page, making it suitable for sharing via email, messages, or external channels.

Page Style Setting

Click the settings icon available on the form style bar to open page style options. This applies to both the In-App and Individual Link styles.

This allows users to customize the appearance of the survey page. Options may include enabling rounded edges, selecting response colors, background color, and action button color to match the desired visual style.

After selecting the display type, users can proceed to the Survey Form Builder. Projetly is designed with different types of fields to collect the required information. Click Add Field and select the appropriate field type from the list.

Each field type is designed to capture a specific type of input from respondents.

Title

Adds a heading or section title within the form.

Useful for organizing the form into sections such as Customer Details, Project Information, or Feedback.

Short Text

Allows respondents to enter a single line of text.

Suitable for collecting brief inputs such as name, company, or designation.

Long Text

Allows respondents to enter detailed responses across multiple lines.

Typically used for comments, explanations, or detailed feedback.

Number

Accepts numeric values only.

Can be used for inputs such as the number of users, project size, or quantity-related information.

Single Select

Allows respondents to choose one option from a predefined list.

Example: selecting a project type such as Implementation, Migration, or Upgrade.

Multi Select

Allows respondents to select multiple options from a list.

Example: selecting multiple services such as Training, Integration, or Customization.

Ratings

Allows respondents to rate an item using a rating scale.

Commonly used in feedback surveys to measure satisfaction or performance.

Date

Allows respondents to select a specific date.

Can be used to capture dates, such as the project start date or the preferred schedule.

Files and Media

Allows respondents to upload files or supporting documents.

Can be used to upload requirement documents, screenshots, or reference files.

URL

Allows respondents to provide a web link.

Can be used to share links to documentation, system URLs, or reference pages.

Email

Allows respondents to enter an email address.

Ensures the input follows a valid email format for capturing contact information.

Projetly also offers a 'Add New Page' option to add multiple pages to your template. This can be used to add multiple sections to a survey.

After adding and configuring the required fields as per the requirement, users can preview the form to review how it will appear to respondents. Once verified, the form can be saved as a template for future use or used immediately to start collecting responses.

Form Templates

Forms are used to capture operational data such as project details, contact information, requirements, or supporting documents needed during project execution. Projetly offers 12+ default form templates.

From the form templates list, users can use the available action icons to preview a template, edit form details such as the name or description, duplicate an existing template, or edit the form structure, including the order of questions and field settings.

Users can also create new form templates to meet specific requirements. The form template builder works similarly to the survey template builder. Follow the steps described above to create and configure a custom form template.
