Zoom Integration for Projetly
The Zoom Integration in Projetly allows you to connect your Zoom account and manage Zoom meetings directly from Projetly. Once connected, you can create Zoom meetings from the Calendar, keep meetings synchronized across both platforms, and use the Projetly AI-powered Zoom App to generate meeting insights, summaries, transcripts, and action items.
Prerequisites
Before connecting Zoom with Projetly, ensure that:
You have an active Zoom account.
You have permission to authorize Zoom applications.
You have Administrator access in Projetly.
The Zoom Integration is available in your workspace Marketplace.
Connect Zoom with Projetly
Only Administrators can connect Zoom from the Marketplace.
Step 1: Open Marketplace
Log in to Projetly.
Navigate to Settings.
Click Marketplace.
Step 2: Connect Zoom
Locate the Zoom integration card.
Click Connect.
Step 3: Authorize Zoom
Sign in to your Zoom account.
Review the requested permissions.
Click Allow.
Once authorization is complete, Zoom will be connected to your Projetly workspace.
Troubleshooting
If the connection fails:
Verify that you are using valid Zoom credentials.
Ensure that you have permission to authorize Zoom applications.
Retry the connection process.
Contact your workspace administrator if the issue persists.
Using Zoom in Projetly
After connecting Zoom with Projetly, you can use the integration for the following activities:
Schedule Zoom meetings directly from the Projetly Calendar.
Join Zoom meetings from Projetly.
Automatically synchronize meetings between Projetly and Zoom.
Update meeting details from either platform.
Delete meetings and keep both platforms synchronized.
Record Zoom meetings using the Projetly AI App.
Generate AI-powered meeting summaries and insights.
Access meeting transcripts and highlights.
Translate non-English conversations into English meeting insights.
1. Schedule Meetings
Prerequisites
Zoom must be connected to Projetly.
You must have access to the Calendar module.
Steps
Navigate to Calendar.
Click Add New Event.
Enter the meeting details.
Enable Video Conferencing.
Select Zoom as the conferencing provider.
Complete the remaining event details.
Click Create Event.
The meeting is created in Projetly and automatically synchronized with Zoom.
2. Join Zoom Meetings from Projetly
Prerequisites
The meeting must be created with Zoom conferencing enabled.
Steps
Open the meeting from the Calendar.
View the meeting details.
Click the Zoom meeting link.
You will be redirected to the Zoom meeting.
3. Zoom: Projetly Meeting Synchronization
Once Zoom is connected, Projetly automatically synchronizes meeting information between both platforms.
Projetly to Zoom
New meetings created in Projetly appear in Zoom.
Updates made in Projetly are reflected in Zoom.
Meetings deleted in Projetly are removed from Zoom.
Zoom to Projetly
Updates made in Zoom are reflected in Projetly.
Meetings deleted in Zoom are removed from Projetly.
Synchronization occurs only while the Zoom integration remains connected.
Meetings created without enabling Video Conferencing are not synchronized with Zoom.
4. Record Meetings Using the Projetly AI App
The Projetly AI App can be used during Zoom meetings to capture conversations and generate meeting insights.
Steps
Join your Zoom meeting.
Click Apps from the Zoom toolbar.
Open Projetly AI-powered GTM.
Click Start Recording.
Projetly begins recording the meeting and processing the conversation for AI insights. Participants will receive notifications indicating that recording and transcription are active.
5. View AI Meeting Insights
After a meeting is recorded using the Projetly AI App, Projetly automatically generates meeting insights.

Meeting Minutes
Steps
Open Projetly.
Navigate to Calendar.
Click AI Meeting Insights.
Select the completed meeting.
The generated insights are available for review and sharing.
6. Translate Non-English Meetings
Projetly can process meetings conducted in languages other than English.
Steps
Start recording using the Projetly AI App.
Conduct the meeting in your preferred language.
End the meeting.
The meeting transcript, summary, highlights, and key insights are automatically translated and displayed in English.
Troubleshooting for Zoom Integration
Unable to Connect Zoom
If Zoom is not connected successfully:
Verify that you are using valid Zoom account credentials.
Ensure that you have permission to authorize Zoom applications.
Complete the Zoom authorization process when prompted.
Disconnect and reconnect the integration if the issue persists.
If you continue to experience issues, contact your workspace administrator or Projetly Support.
Meeting Not Appearing in Zoom
If a meeting created in Projetly does not appear in Zoom:
Verify that Video Conferencing was enabled while creating the event.
Confirm that Zoom was selected as the conferencing provider.
Ensure that the Zoom integration is connected and active.
After making any changes, update the meeting and allow a few moments for synchronization.
AI Meeting Insights Not Available
If AI Meeting Insights are not generated after a Zoom meeting:
Verify that the Projetly AI-powered GTM app was launched during the meeting.
Ensure that Start Recording was selected before the discussion began.
Confirm that the meeting recording was completed successfully.
Only meetings recorded using the Projetly Zoom App will generate AI Meeting Insights.
Disconnect Zoom
You can disconnect Zoom from your Projetly workspace at any time.
Steps
Navigate to Settings.
Open Marketplace.
Locate the Zoom integration.
Click Disconnect.
Confirm the action.
The Zoom account will be disconnected from your Projetly workspace.
What Happens After Disconnecting Zoom?
After Zoom is disconnected:
New Zoom meetings will no longer sync with Projetly.
Changes made in Zoom will no longer be reflected in Projetly.
Changes made in Projetly will no longer be reflected in Zoom.
Recording through the Projetly Zoom App will no longer be available.
New AI Meeting Insights will not be generated from Zoom meetings.
Previously synchronized meetings and existing AI Meeting Insights will remain available in Projetly.
Data Handling
When Zoom is disconnected, Projetly stops accessing your Zoom account and no new meeting information is synchronized.
Any meetings, recordings, transcripts, summaries, or AI Meeting Insights that were previously generated remain available in Projetly according to your workspace’s data retention settings.
